Quick answer: You can’t. ServiceM8 still removes a job from a Queue as soon as the job status changes to Completed or Unsuccessful, and no setting changes that. For work that happens after “Completed”, like a certificate or an unpaid invoice, use Checklist tasks, Badges, the Invoicing screen, Payment Follow Up Automation or an Office Agent scheduled task.

Can a Completed job stay in a ServiceM8 Queue?

No. ServiceM8’s help center says jobs are removed from Queues automatically when they are scheduled, or when their status changes to Completed or Unsuccessful. That page is current, and the September 2026 update (ServiceM8 15) lists no change to Queues.

What does “Completed” mean in ServiceM8?

ServiceM8 defines Completed as: all work is done and the job is ready to be invoiced. A job should stay a Work Order until all physical work is complete.

After Completed, ServiceM8 tracks the money side on the Invoicing screen: Awaiting Approval, then Awaiting Payment, then Paid. So an unpaid invoice already has its own list. You don’t need a Queue for it.

How do I track a certificate I still owe after the job is done?

OptionHow it worksWatch out for
Checklist taskAdd a Checklist item like “Send certificate”, set an Assignee and a Reminder (Today, Tomorrow, Monday or Custom). The item shows in the assignee’s Tasks and For My Review lists.ServiceM8’s help page does not say how an open task on a Completed job shows in job lists.
Form in the ChecklistWith the Forms add-on, search the Form name while adding a Checklist item. The certificate becomes a listed job requirement.Needs the Forms add-on.
BadgeTurn on Badges under Account > Features & Integrations. Create a custom Badge such as “Cert owed” and apply it to the job card. The custom Job Filter options ServiceM8 lists are status, scheduling options, categories and Queues. Badges are not on that list.
Follow-up Badge reminderApply a Follow-Up Badge before marking the job Completed. A reminder lands in the ServiceM8 Inbox after the set wait. The Badge must be on the job before the status changes.

Should I leave the job as a Work Order and queue it?

This is our suggestion, not ServiceM8’s. An electrician who still owes a certificate after a panel upgrade could leave the job as a Work Order and put it in a regular Queue named “Certificate owed”.

There is a cost. ServiceM8 works out the invoice due date from the date the job was Completed or the date a PDF invoice was produced, whichever came earlier. Follow-up Badges also wait for Completed. Holding the status back delays both.

How do I chase unpaid invoices on Completed jobs?

Use Payment Follow Up Automation. Go to Settings > Automation and click Edit next to Payment Follow Up. Set how many follow-ups to send, when, and by email, SMS or both. ServiceM8 cancels the scheduled messages once the job is paid in full.

Can Office Agent watch Completed jobs for me?

Yes, within limits. Office Agent can view jobs by filter, spot overdue invoices, and check for completed Forms recorded against jobs. A scheduled task can run that review on repeat and notify the people you pick.

Scheduled tasks need the Office Agent Pro plan and the Business Owner security role. For why jobs drop out of Queues at other times, see why jobs keep leaving a ServiceM8 Queue.
